Document Verification
Smart Form Publisher allows you to include verification links and QR codes in your generated documents — helping recipients or reviewers confirm the authenticity of each published file.
How to Verify a Published Document
Recipients or external parties can verify a document in two ways:
- Click the verification link included in the document
- Scan the QR code embedded in the document layout
This ensures every generated certificate, report, or document can be validated easily — whether viewed digitally or in print.
How Verification Works in the Add-on
During configuration in the Merge Fields Tab, you can include the system-generated field {{Verification Link}} or use a QR placeholder {{QR}}.
You can choose one or both options depending on how you want the verification to appear:
1. Text Merge (Verification Link)
Displays a clickable URL inside the document, such as:https://smartformpublisher.gwaddons.com/verify/ABC123
- ✅ Ideal for digital documents (Docs, PDFs, or Sheets)
- ✅ Allows users to click or copy the link directly
2. QR Code Merge
Renders a scannable QR code linked to the same verification page.
- ✅ Perfect for printed documents or certificates
- ✅ Works offline — users can scan with any mobile device
Verification Page After Scanning
When someone scans the QR or opens the verification link, they’ll be redirected to a secure verification page, which may include:
- Document title and type (e.g., Certificate, Report, Summary)
- Recipient’s name or email
- Issued date
- Document ID or reference number
- Verification status (✅ Valid / ❌ Invalid)
Best Practices
- Always include either a verification link or QR code in official templates.
- For branding, you can add a label like “Verify this document at:” before the placeholder.
- Combine both text and QR options for maximum accessibility.
By enabling verification in Smart Form Publisher, you ensure every document you generate — whether it’s a certificate, report, or form response — is authentic, traceable, and securely validated.
